Privacy notice
What this website collects when you contact us, why we hold it, how long we keep it, and how to have it removed.
This notice covers this website and the enquiry form on it. It does not cover your clinical record. Once you become a patient, your medical records are held under a separate clinical records and consent framework, which is explained to you at registration.
Who is responsible for your information
Kwatra Precision Cancer Institute and Research Centre (KPCIRC), a division of KIO Solutions Pvt. Ltd., Kwatra Sciences Group, Paschim Vihar, New Delhi. We are the data fiduciary for the information described below, under the Digital Personal Data Protection Act, 2023.
What the enquiry form collects
- Your name
- Your phone or WhatsApp number
- Your email address, if you give one
- Your city, if you give one
- Whether you are a patient, a family member, or a doctor referring a patient
- What you have told us you need, and anything you write in the message box
- Your IP address, held briefly and used only to stop the form being abused by automated submissions
What we ask you not to send
Please do not paste medical reports, scan images, pathology results or clinical details into the enquiry form. It is an ordinary web form and is not a secure route for health records. The navigator will tell you how to send records safely once you are in contact. If you do send clinical detail through the form, we will handle it with the same care as the rest of your information, but we would rather you did not.
Why we hold it, and on what basis
We use what you send us for one purpose: to respond to your enquiry and, if you go on to become a patient, to open your record. The lawful basis is your consent, which you give by ticking the box on the form. You can withdraw it at any time, and we will stop contacting you.
We do not use your details for advertising. We do not sell them. We do not share them with third parties for their own purposes.
Who can see it
Enquiries are read by the KPCIRC staff who need to act on them: the patient navigator, the counsellors, and the front office. Our website is hosted by our hosting provider, who stores the data on our behalf and may not use it for anything else.
How long we keep it
Enquiries that do not become patient relationships are kept for twenty-four months from your last contact with us, then deleted. If you become a patient, your clinical record is retained for the period required by Indian medical record-keeping rules, which is longer, and that retention is explained separately at registration.
Your rights
Under the Digital Personal Data Protection Act, 2023 you may ask us to:
- Tell you what information about you we hold, and what we have done with it
- Correct anything that is wrong or incomplete
- Erase what you have sent us, where we are not required to keep it
- Withdraw the consent you gave, at any time
- Nominate someone to exercise these rights on your behalf if you are unable to
You also have the right to raise a grievance with us, and to escalate it to the Data Protection Board of India if you are not satisfied with how we handled it.
How to reach us about your information
Write to us at the address on this site, or use the contact details on the home page, marking your message for the attention of the grievance officer. We will acknowledge and respond within the period the Act requires.
Cookies
This site does not run advertising or tracking cookies and does not use third-party analytics. WordPress and our caching software may set functional cookies that are necessary to serve pages and to keep an administrator signed in.
Changes to this notice
If we change how we handle your information, we will change this page and update the date below.
This notice applies from 24 August 2026, ahead of the clinic opening on 1 September 2026.
